Please read this policy carefully before making a booking.
1. Cancellation by Guest
If you need to cancel your booking, the following charges apply based on when we receive your cancellation notice:

1.2 Peak Season & Festival Period Cancellations
During peak seasons (April–June, October–December) and festival/holiday periods (Diwali, Christmas, New Year, Holi, long weekends), a stricter cancellation schedule applies:

Peak season dates may vary by year and location. Our team will confirm whether your dates fall under peak season pricing at the time of booking.
2. How to Cancel
To cancel your booking, please contact us through any of the following:

Important:
- Cancellations are effective from the date and time we receive your request — not when you decide to cancel
- We will send a cancellation confirmation via email or WhatsApp within 24 hours
- If you do not receive a confirmation, please follow up — your cancellation may not have been received
3. Modification & Date Changes
3.1 Date Changes
- Date changes are treated as a cancellation of the original booking + a new booking
- If you request a date change 15 or more days before check-in, we will do our best to accommodate the change without additional cancellation charges, subject to availability
- Date changes requested less than 15 days before check-in are subject to the cancellation charges above
- Any price difference between the original and new dates will be charged or refunded accordingly
3.2 Upgrade / Downgrade
- Requests to change room/tent type are subject to availability and may involve price adjustments
- Upgrades will be charged at the applicable rate; downgrades may not always result in a refund
4. Cancellation by Pahadi House
We may cancel your booking under the following circumstances:
4.1 Force Majeure
If your stay is affected by events beyond our control — including severe weather, natural disasters, landslides, road closures, government restrictions, pandemics, or safety emergencies — we will:
- Option A: Offer alternative dates at the same property (subject to availability, valid for 6 months)
- Option B: Offer a stay at an alternative Pahadi House property (subject to availability)
- Option C: Provide a full refund of the amount paid
4.2 Weather & Seasonal Closures
- George Everest Camping may be closed or inaccessible during monsoon season (July–September) due to heavy rainfall and trail conditions
- Kanatal access roads may be affected by snow or landslides during peak winter
- If weather makes it unsafe to operate, we will cancel affected bookings and offer a full refund or date change
4.3 Safety Concerns
If we determine that conditions at the property are unsafe for guests (e.g., wildlife activity, structural issues, utility failures), we will cancel and provide a full refund.
4.4 Guest Conduct
If a booking is cancelled or a guest is asked to leave due to violation of our Terms & Conditions or House Rules, no refund will be provided.
5. Refund Process
5.1 Refund Timeline
- Refunds will be processed within 7–14 business days from the date of cancellation confirmation
- The actual time for the refund to reflect in your account depends on your bank or payment provider
5.2 Refund Method
- Refunds will be made to the original payment method used at the time of booking
- If the original payment method is unavailable, we will arrange an alternative (bank transfer via NEFT/IMPS)
- Cash refunds are not available for online payments
5.3 Refund Deductions
Please note that:
- Payment gateway charges (if any) may be deducted from the refund amount
- Refunds are calculated on the total booking amount (accommodation + included meals/activities), not on add-ons purchased separately
6. Non-Refundable Items
The following are non-refundable regardless of cancellation timing:
- Adventure activity bookings — rafting, bungee jumping, zip-lining, and other activities operated by third-party providers (subject to the provider’s own cancellation policy)
- Special experience add-ons — cooking experiences, private bonfires, guided treks booked separately
- Transportation arrangements — if Pahadi House has arranged transfers on your behalf
- Festival/event-specific packages — special packages for New Year, Diwali, or seasonal celebrations (unless the event is cancelled by Pahadi House)
7. Group Bookings
For groups of 8 or more guests, the following terms apply:

- Partial cancellations (reducing group size) are subject to revised pricing — per-person rates may change if the group size falls below the minimum for group pricing
- Corporate and event bookings may have custom cancellation terms agreed upon at the time of booking
8. OTA Bookings
If you booked through a third-party platform (OTA such as MakeMyTrip, Booking.com, Goibibo, etc.):
- Cancellations must be initiated through the platform where the booking was made
- The cancellation and refund terms of the OTA will apply, which may differ from this policy
- For assistance, you may also contact us directly, but the refund must be processed through the OTA
9. Travel Insurance
We strongly recommend that all guests purchase travel insurance covering:
- Trip cancellation and interruption
- Medical emergencies and evacuation (especially important for mountain/altitude destinations)
- Personal belongings and baggage
Pahadi House is not a travel insurance provider and cannot file claims on your behalf.
